• Description:
• The 16th Hong Kong Arts Development Awards Presentation Ceremony and Video Production for the Hong Kong Arts Development Council Scope of Work 4. The tender comprises the following items: MANDATORY ITEMS: Budget approximately HK$1.8 million for Item A and B A. Ceremony Production - Programme Planning, Production & Event Preparation i. Responsible for the planning, rehearsal and execution of the whole ceremony production which has to be filmed to the satisfaction of HKADC. The ceremony should be treated as a live show without interruption and expected duration of two hours approximately. ii. Provide a production team with producer, director, script writer, researcher, production assistants, etc. iii. Venue: HKADC has secured venue for the ceremony (400-seat), site visit will be arranged with contract awardee in due course 5 iv. Stage design: Design, production and set up of stage backdrop and props (three-dimensional or in digital format whenever appropriate) with grand and prestigious design to match the theme of the Award Scheme v. Provide all equipment, technical support and manpower on site, including: ⚫ LED TV Wall for showing awardees footages and / or powerpoint flips where necessary ⚫ Design and production of a podium for officiating guests- speech (tailor made according to HKADC-s requirement). The podium may also serve for the kick-off ceremony. ⚫ Devise a gimmick for event kick off and production of props required, followed with spectacular lighting effects ⚫ A set of staircases along the entire edge of the stage for guests to go up on the stage ⚫ Lighting system engineering, with lighting design, equipment rental, technical and operation services ⚫ PA and audio system engineering services, equipment, technical and operation services ⚫ Setting, props and other necessary materials for all performances ⚫ Floor surface suitable for all performances, such as dancing, etc. ⚫ A podium for programme hosts ⚫ Risers for group photo ⚫ Provide a stage team including floor manager(s) to manage the stage and backstage logistics during the event. The stage team should stand by at least 6 hours prior to the commencement of the ceremony on event day and attend rehearsals. ⚫ Provide 2 programme hosts with good command of Cantonese and English (including dressing, hair styling, make-up). Programme hosts should stand by at least 4 hours prior to the commencement of the ceremony on event day and attend rehearsals. ⚫ Provide 4 escort ladies/gentlemen. They should stand by at least 6 hours prior to the commencement of the ceremony on event day for rehearsals. ⚫ One backdrop, designed to match the main theme, with all necessary information, set up near reception area or area deemed appropriate ⚫ Reception table and chairs ⚫ Surveyor-s report by professional authorised third party or registered structural engineer report for all constructions ⚫ Sound feeds for media and Information Services Department ⚫ The cost should cover rental, set up and dismantle of all equipment and 6 props vi. Provide camera crew and filming during the ceremony vii. Live Streaming of the ceremony on HKADC Youtube Channel viii. Provide ushers to show guests their seats ix. Liaise with performing artists/ arts groups on the ideas and technical requirement of performances and arrange rehearsals (1-2 performance(s) to be arranged) x. Provide makeup and hair styling for performers, presenters and awardees, estimate around 30-40 pax xi. Research / Script-writing in both Chinese and English xii. Removal and disposal of flower bouquets, protective PVC on stage…etc You are invited to tender for the items listed in the Scope of Work. 2.
